Portfolio Property Manager

Overview

We are seeking a Portfolio Property Manager to join a UHNW family office in Central London. This is a fast-paced and varied role, overseeing facilities and property management across a London based portfolio alongside wider operational support for the business.

Working across multiple work streams, you will ensure properties are well maintained and day-to-day operations run smoothly. The successful candidate will be highly capable and genuinely flexible, comfortable handling requirements both large and small, from overseeing works across the portfolio to managing the finer operational detail.

Expectations

  • Support day-to-day facilities operations across a large portfolio of residential and commercial properties in London, ensuring they are well maintained and running smoothly.
  • Coordinate maintenance works, repairs, inspections and preventative maintenance schedules with contractors and service providers.
  • Respond to tenant requests, ensuring issues are handled efficiently and professionally.
  • Manage vendor relationships, procurement processes and service contract administration across the portfolio.
  • Attend site visits and property inspections as required, tracking follow-up actions and outstanding maintenance items.
  • Maintain accurate records of maintenance schedules, contractor details, rental schedules, invoices and payment tracking.
  • Support communication with property managers, estate agents, brokers, developers, contractors and suppliers.
  • Carry out research and sourcing across suppliers, services and products, presenting findings in a structured format with clear options for review.
  • Build and maintain trackers, operational manuals, supplier directories and contact lists, keeping all records current and well organised.
  • Track projects across multiple work streams, monitoring progress against deadlines and proactively flagging delays or outstanding actions.
  • Prepare and format documents, presentations and reports to a high standard, suitable for internal use and senior review.
  • Provide general operational administration, reporting and document management so that all business information remains organised and up to date.
  • Whilst the role is predominantly UK focused, you may be required to provide operational support to the property management team in Europe, which may involve some international travel.

Requirements

  • Experience in facilities and property management across both residential and commercial properties, including repairs, maintenance, refurbishment and smart home systems.
  • Excellent time management, with the ability to juggle multiple priorities simultaneously.
  • The confidence and prior experience to work with minimal supervision.
  • A proactive, results-driven approach with a can-do, flexible attitude.
  • Experience engaging third-party contractors, including managing contracts, schedules of work, quotes, budgets and negotiations.
  • An open, collaborative approach to working within a team to achieve successful outcomes.
  • Flexibility to engage with requirements both large and small, with the adaptability to support a demanding principal across a broad and changing remit.
