Head of Global Administration / EA to COO
Overview
A fast-growing international shipping group operating across three continents, this organisation is at the forefront of the maritime sector, delivering cutting edge transportation and logistics solutions worldwide. With continued expansion on the horizon, they are seeking an exceptional Head of Global Administration / EA to COO to help scale with the same ambition and discipline that has defined their growth to date.
This is a senior, wide ranging role, overseeing administrative operations across eight international offices while serving as a unifying presence at the London headquarters, supporting employee engagement and ensuring the COO’s office operates with precision and purpose.
Expectations
The successful candidate will take ownership of three core verticals within the Global Administration function, operating with autonomy and accountability:
- Management of the Global Administration function – responsible for offices, facilities, and services – across the organisation (currently 8 offices);
- Efficient and professional operation of the London headquarters, overseeing a facilities manager to ensure high standards and disciplined execution (and replicating that work globally);
- Working with HR and Corporate Operations on London team engagement and management, individually and collectively.
Requirements
- Proven experience in a Senior Administrative, Operations or Chief of Staff role within a similarly fast-paced, global organisation
- Experience managing a dispersed administrative team across multiple locations
- Track record of implementing operational systems, travel, logistics and broader administrative processes, at scale
- Background in financial services – preferred
- Comfortable acting as a trusted advisor and operational deputy to senior executives
- Skilled in people management and able to navigate complex internal dynamics with discretion
- Polished, sharp and highly professional, with the presence to operate credibly at senior levels
- Equally comfortable in a hands-on administrative capacity as in a strategic or managerial one
- Exceptionally organised with the ability to manage competing priorities across geographies and time zones
